The ClevOps System

From first click to qualified booked conversation.

ClevOps connects traffic, conversion, qualification, follow-up and booking into one system, so leads do not disappear between an enquiry and a sales conversation.

01Where it breaks

Generating the lead is not the hard part. Managing what happens next is.

Most businesses invest in the top of the process. More traffic, more campaigns, more enquiries. That part is well understood, and it is usually not where the money is lost.

The loss happens quietly, in the hours after an enquiry arrives, when responding depends on someone being free, remembering, and having the full picture in front of them.

What an unmanaged enquiry looks like over time

  1. Minute 0

    Enquiry submitted

  2. Minute 5

    No response yet

  3. Hour 1

    Call missed

  4. Day 1

    Follow-up forgotten

  5. Day 3

    Lead has moved on

Where it breaks

The seven places it usually goes wrong.

  • Breakdown · 01

    Slow response

Interest is highest in the first few minutes. A reply that arrives hours later is answering a different question.

  • Breakdown · 02

    Missed calls

A call placed while a crew is on site rarely gets returned, and nothing picks the conversation back up.

  • Breakdown · 03

    Inconsistent follow-up

Someone gets three messages, someone else gets none, and no one can say which leads are still open.

  • Breakdown · 04

    Poor qualification

Time goes into enquiries outside the service area, outside the scope, or nowhere near ready to buy.

  • Breakdown · 05

    Disconnected tools

The website, the inbox, the phone and the spreadsheet each hold part of the story and none of them talk.

  • Breakdown · 06

    No clear booking path

A qualified prospect who is ready now still has to wait for a callback to agree a time.

  • Breakdown · 07

    Weak tracking

Without lead source and outcome in one place, spend decisions come down to impressions rather than evidence.

  • None of this is a traffic problem. It is a system problem.

02The complete system

Six connected stages, one continuous path.

Each stage hands the lead to the next one deliberately. Nothing waits on someone noticing an email, and no step depends on a handover that might not happen.
  1. Traffic

Google Ads, Meta Ads and SEO create demand.

    • Paid search
    • Paid social
    • Organic
  2. Capture

Focused landing pages and websites convert interest into enquiries.

    • Landing pages
    • Offer clarity
    • Forms
  3. Qualify

Forms, routing logic and CRM workflows identify the best opportunities.

    • Form logic
    • Routing
    • Criteria
  4. Follow Up

SMS and email workflows respond quickly and continue nurturing.

    • Instant reply
    • Sequences
    • Reminders
  5. Book

Qualified prospects move directly into the booking process.

    • Calendar
    • Confirmations
    • Reminders
  6. Track

Every lead enters a pipeline so progress and outcomes can be monitored.

    • Source
    • Pipeline
    • Outcomes

One process, end to end, not a collection of tools that happen to be running at the same time.

03Inside each stage

What each stage actually involves.

The same six stages, in detail. This is the part that decides whether the system is something your business runs on, or something it works around.

Stage · 01

Traffic

Demand is bought, earned, or already arriving.

Before adding spend, it is worth knowing which of those three a business is actually short of. Some need more demand. Many already have enough and lose it further down.

Where new demand is needed, the channel is chosen for how the service is bought: whether people search for it at the moment they need it, or have to be shown it first.

Channels we work with

Google Ads
Reaches people searching for the service now. Usually the fastest route to enquiries that already have intent behind them.
Meta Ads
Creates demand instead of waiting for it. Suits offers that can be understood quickly and a clearly defined service area.
SEO
Builds visibility that compounds. Slower to start, and it does not stop the moment a budget is paused.
Existing website traffic
Most sites already receive visitors. Converting more of them costs nothing further in media.
Referrals and direct
Word of mouth still arrives as a form, a call or a message, and deserves exactly the same handling as paid demand.

Not every business needs every channel. A company with steady referrals and a weak follow-up process does not need more traffic, it needs the rest of the system. We start from where the demand already is.

Stage · 02

Capture

Traffic only matters if the next step is clear.

A visitor decides in seconds whether a business does what they need, covers where they are, and is worth contacting. The page has to answer that before it asks for anything.

So the site or landing page is built around one action. Everything else on the page supports that action, or it is not on the page.

What conversion depends on

The page
One page, one decision, no competing calls to action.
Offer clarity
What you do, who it is for, where you do it, and what happens next.
Lead forms
Short enough to finish on a phone, structured enough to be useful afterwards.
Mobile experience
Most local service traffic is mobile, so the mobile layout is the primary one.
Tracking
Form submissions, calls and key clicks recorded as events rather than estimated.
Attribution
Where it can be configured, the enquiry carries its source into the CRM with it.
Stage · 03

Qualify

Sorting the enquiry before it costs anyone time.

Enquiries are not equal. Some are outside the service area, some are for work you do not take, and some are months away from a decision.

Qualification puts that assessment at the front, where it is cheap, using questions the enquiry itself can answer.

What leads can be sorted on

Form questions
A small number of deliberate questions, chosen for what they let you decide.
Service area
Location checked against where you actually work, before anyone drives anywhere.
Project type
The kind of job, so the right person or calendar receives it.
Budget
A range, where asking for one suits the service and the market.
Urgency
Ready now, planning for next quarter, or gathering quotes.
Business-specific criteria
Property type, access, volume, contract length: whatever actually decides fit for you.

Qualification logic is written for your business. We do not claim AI lead scoring. The criteria are the ones you already use to judge whether a job is worth quoting, applied consistently to every enquiry instead of some of them.

Stage · 04

Follow Up

Responding in minutes, every time, without anyone remembering to.

The outcome is simple: nobody who enquires is left without a reply, and nobody who goes quiet is quietly dropped.

That is a workflow problem more than a software one. The sequences run on their own, and a person steps in for the part that needs a person.

What the workflow does

Instant acknowledgement
The enquiry is answered immediately, so interest is not left to cool.
SMS
A short, direct message on the channel people actually read.
Email
Longer detail, confirmation, and the nurture that follows if the timing is not now.
Missed-call follow-up
A missed call triggers a message rather than ending the conversation.
Reminders
Before a booked appointment, and for internal follow-ups that are due.
Lead routing
The right enquiry reaches the right person, with the context attached.
Pipeline movement
Stages update as things happen, rather than during a weekly clean-up.
Sales visibility
Whoever sells can see what is open, what is waiting and what has gone quiet.

Depending on the client, this infrastructure may be built using platforms such as GoHighLevel and other CRM and automation tools. The platform matters far less than the behaviour it produces, and we will work with what you already run where that makes sense.

Stage · 05

Book

From interested to a time in the calendar.

Once a lead is qualified and responsive, the remaining friction is scheduling. Most of it comes from two people trying to agree a time by message.

Booking removes that exchange for the prospects who are ready, and leaves the rest in follow-up until they are.

How booking works

Direct calendar booking
The prospect picks from real availability instead of waiting on a callback.
Routing
Job type, location or value sends the booking to the correct calendar or person.
Confirmation
Immediate confirmation with the details, so the appointment feels committed to.
Reminders
Timed reminders before the appointment, to reduce quiet no-shows.
Rescheduling
A changed plan moves the appointment rather than ending it.

Booking does not replace a sales conversation and does not make a lead say yes. It makes sure the conversation actually happens, with someone who has already been qualified.

Stage · 06

Track

Knowing what produced the work.

Once every lead enters the same pipeline, questions that used to be opinions become answerable: where enquiries came from, how many were worth having, and how many turned into appointments.

That is what makes the next decision about spend or effort an evidence-based one.

What is recorded

Source
Which channel or campaign the enquiry came from.
Lead status
New, contacted, qualified, unqualified or dormant.
Pipeline stage
Where the opportunity currently sits in your process.
Booked appointment
Whether a conversation was scheduled, and whether it happened.
Conversion events
The actions that matter, recorded consistently rather than inferred.
Campaign attribution
Where platforms and consent allow it to be configured end to end.
Diagram: pipeline structure, not live data
  1. New
  2. Contacted
  3. Qualified
  4. Booked
  5. Won

What you can see depends on what is genuinely connected. We will tell you which parts of attribution are reliable for your setup and which are estimates, rather than presenting a dashboard that implies more certainty than exists.

04Built around the business

Your business should define the system, not the software.

Template automation works by making every client fit the same funnel. It is quick to deploy and it is why so many of those builds are quietly abandoned a few months later.

  • Variable · 01

    The service

A same-day emergency call and a six-figure remodel are not the same sale, and should not run through the same sequence.

  • Variable · 02

    Average job value

What a lead is worth decides how much qualification, follow-up and human time it justifies.

  • Variable · 03

    Sales cycle

Decided in an afternoon or considered over three months. That length sets the follow-up, not the other way round.

  • Variable · 04

    Service area

Where you will travel changes targeting, form logic and which enquiries are disqualified on arrival.

  • Variable · 05

    Lead volume

Twenty enquiries a month and four hundred call for different amounts of automation and different routing.

  • Variable · 06

    Internal team

Who answers, when they are reachable and what they already use determines how much the system should do on its own.

  • Variable · 07

    Qualification criteria

The questions that genuinely separate a good job from a bad one for you, which are rarely the generic ones.

  • We start from how your business already sells, then decide what should be automated, what should stay with a person, and what does not need to exist at all.

05Who this is for

Where a system like this earns its place.

It suits service businesses with a few things in common. If none of them describe your business, a system of this size is probably more than you need right now.

Often

  • Home services
  • Contractors
  • Cleaning companies
  • Remodeling
  • Local service businesses

These are the businesses we work with most, not the only ones the system fits. The conditions matter more than the trade.

  • Condition · 01

A lead is worth real money

When a single job is worth a meaningful amount, the cost of losing one justifies building the process properly.

  • Condition · 02

    Response time changes the outcome

If prospects contact more than one business, the first useful reply usually shapes the decision.

  • Condition · 03

    Enquiries need sorting

If a noticeable share of enquiries are out of area, out of scope or not ready, qualification saves more than it costs.

  • Condition · 04

    A conversation closes the sale

Where a call, a visit or a quote is part of how work is won, getting that appointment booked is the goal worth optimising for.
